South West RDA –Stakeholder Conference and Annual Public Meeting Sector Marketing was appointed to the South West RDA’s Marketing Services Framework for Event Management and Consultancy in June 2008. In June 2009, we successfully tendered for the complete event management of the RDA’s Stakeholder Conference and Annual Public Meeting as part of a mini competition involving five other agencies. The South West RDA is required to hold an Annual Public Meeting, which they decided to combine with a separate Stakeholder Conference. Both events took place on 24th September 2009.
The purpose of the Public Meeting was to review activity during 2008 – 2009 and to communicate key achievements, as well as provide the opportunity for the general public to question the Board of Directors. The purpose of the Stakeholder Conference was to engage more proactively with the RDA’s key stakeholders within the public sector on issues affecting the region and to debate key issues ranging from the role and funding of SEPs to how best to engage business at local, sub-regional and regional level. This session was strictly by invitation only to MPs/MEPs, Council Leaders and Chief Executives of representative organsations CBI, IoD, LGA, SEPs etc.
Sector Marketing’s responisibilities were :
· Management of all aspects of venue, including booking of venue on behalf of South West RDA; catering, car parking and accommodation; liaising with venue’s in-house event team on Health and Safety issues, and accessibility · Provision of stage set, all other dressing of venue, including branded modesty boards for Q & A panel session table, branding of lecterns and other potential display materials to optimise visual effect · Provision of all AV, lighting, etc. · Management of presentations on the day – so production and direction on the day (also include gathering and uploading of material for the day’s presentations). · Full management of interactive session, including any briefing and liaison required. · Full Delegate management service; from design of html invitations through to online and on-site registration, joining brief, badges and accommodation options (to be provided as part of the delegate management services) · Speaker management, from time that speakers are confirmed. · Briefing packs for staff and speakers. · All logistical management of delegates and speakers at venue. · Provision of shuttle buses as required. · Live webcast and recording of key note speech and interactive feedback session for Agency website pod cast, immediately post event. · Adherence wherever possible to sustainable options, as outlined in the Greener Events policy which the Agency has signed up to. |
